Teams, SharePoint, OneDrive, Outlook \u2014 everything is included. And every month, you pay for it.<br data-start=\"1208\" data-end=\"1211\">But here&#8217;s the honest question that is rarely asked: <strong data-start=\"1270\" data-end=\"1330\">is your Microsoft 365 environment working as intended?<\/strong><\/p><p data-start=\"1332\" data-end=\"1586\">In practice, we see something different. Companies invest in licenses, but not in structure. Employees do their best, but are not given clear agreements. And IT \u201cworks\u201d until one day it suddenly stops working \u2014 or worse: turns out to be unsafe.   <\/p><p data-start=\"1588\" data-end=\"1661\">Microsoft 365 is not a software problem. It is a <strong data-start=\"1639\" data-end=\"1660\">usage issue<\/strong>. <\/p><h4 data-start=\"1663\" data-end=\"1715\">The most common mistakes we continue to see<\/h4><p data-start=\"1717\" data-end=\"2055\">One of the classics: Microsoft Teams is used as a kind of glorified file server. Channels everywhere, files everywhere, no one knows where anything is anymore. SharePoint does exist, but without a clear site structure or logic. And permissions? They grow organically with the chaos: everyone has access to everything, \u201cfor convenience.\u201d    <\/p><p data-start=\"2057\" data-end=\"2082\">That feels efficient, until:<\/p><ul data-start=\"2083\" data-end=\"2260\"><li data-start=\"2083\" data-end=\"2126\"><p data-start=\"2085\" data-end=\"2126\">documents disappear or exist in duplicate<\/p><\/li><li data-start=\"2127\" data-end=\"2168\"><p data-start=\"2129\" data-end=\"2168\">employees wasting time searching<\/p><\/li><li data-start=\"2169\" data-end=\"2216\"><p data-start=\"2171\" data-end=\"2216\">sensitive information is shared too widely<\/p><\/li><li data-start=\"2217\" data-end=\"2260\"><p data-start=\"2219\" data-end=\"2260\">new colleagues are unable to gain an overview<\/p><\/li><\/ul><p data-start=\"2262\" data-end=\"2369\">The problem is rarely unwillingness. The problem is that Microsoft 365 <strong data-start=\"2326\" data-end=\"2368\">automatically derails without agreements<\/strong>. <\/p><h4 data-start=\"2371\" data-end=\"2426\">So what is a healthy Microsoft 365 environment?<\/h4><p data-start=\"2428\" data-end=\"2562\">A healthy environment does not have to be complex. It is based on three simple principles: clarity, consistency, and discipline. <\/p><p data-start=\"2564\" data-end=\"2790\">Firstly, Teams is a collaboration tool, not an archive. Use Teams for consultation, temporary collaboration, and communication. Files that are structurally important belong in SharePoint\u2014in a fixed, logical location.  <\/p><p data-start=\"2792\" data-end=\"3015\">Secondly, SharePoint only works if there is structure. That doesn&#8217;t mean \u201clocking everything down in advance,\u201d but it does mean thinking about departments, projects, and access. A good structure prevents 80% of later frustrations.  <\/p><p data-start=\"3017\" data-end=\"3236\">Thirdly, rights are not a minor detail. They determine who can see, modify, or share what. Without agreements on rights, you unknowingly create risks\u2014especially with regard to Copilot and AI, where this will play a much greater role in the future.  <\/p><h4 data-start=\"3238\" data-end=\"3289\">When should you use Teams&#8230; and when should you not?<\/h4><p data-start=\"3291\" data-end=\"3312\">Teams is ideal for:<\/p><ul data-start=\"3313\" data-end=\"3412\"><li data-start=\"3313\" data-end=\"3331\"><p data-start=\"3315\" data-end=\"3331\">project operation<\/p><\/li><li data-start=\"3332\" data-end=\"3361\"><p data-start=\"3334\" data-end=\"3361\">consultation within departments<\/p><\/li><li data-start=\"3362\" data-end=\"3412\"><p data-start=\"3364\" data-end=\"3412\">temporary collaboration with clear context<\/p><\/li><\/ul><p data-start=\"3414\" data-end=\"3443\">Teams is less suitable if:<\/p><ul data-start=\"3444\" data-end=\"3572\"><li data-start=\"3444\" data-end=\"3473\"><p data-start=\"3446\" data-end=\"3473\">long-term document archive<\/p><\/li><li data-start=\"3474\" data-end=\"3528\"><p data-start=\"3476\" data-end=\"3528\">replacement of a well-designed SharePoint structure<\/p><\/li><li data-start=\"3529\" data-end=\"3572\"><p data-start=\"3531\" data-end=\"3572\">all-in-one solution without appointments<\/p><\/li><\/ul><p data-start=\"3574\" data-end=\"3692\">Those who use Teams for everything will sooner or later lose track of things. Those who use Teams consciously gain speed and peace of mind. <\/p><h4 data-start=\"3694\" data-end=\"3738\">Creating order without turning everything upside down<\/h4><p data-start=\"3740\" data-end=\"3945\">The good news: <strong data-start=\"3758\" data-end=\"3794\">you don&#8217;t have to start over.<\/strong> In most environments, it is sufficient to first gain insight. Where is which data located? Who uses what? Where are the risks and inefficiencies?<\/p><p data-start=\"3947\" data-end=\"3997\">From there, adjustments can be made step by step:<\/p><ul data-start=\"3998\" data-end=\"4146\"><li data-start=\"3998\" data-end=\"4044\"><p data-start=\"4000\" data-end=\"4044\">improve structure without migration panic<\/p><\/li><li data-start=\"4045\" data-end=\"4093\"><p data-start=\"4047\" data-end=\"4093\">strengthen rights without blocking work<\/p><\/li><li data-start=\"4094\" data-end=\"4146\"><p data-start=\"4096\" data-end=\"4146\">record agreements that are actually followed<\/p><\/li><\/ul><p data-start=\"4148\" data-end=\"4212\">Optimization is not a big bang. It is a controlled process. <\/p><h3 data-start=\"4214\" data-end=\"4249\">Finally: the honest reality<\/h3><p data-start=\"4251\" data-end=\"4400\">Microsoft 365 is powerful, but it doesn&#8217;t forgive chaos.
