Faster work, fewer emails, automatic summaries, help with documents and analyses. For many organizations, it sounds like the next step in productivity.  <\/p>\n<p data-start=\"1135\" data-end=\"1252\">But there is one question that is surprisingly rarely asked: <strong data-start=\"1192\" data-end=\"1252\">what does Copilot actually see in your Microsoft 365 environment?<\/strong><\/p>\n<p data-start=\"1254\" data-end=\"1383\">Copilot is not a magical AI that \u201cthinks smart.\u201d It is an assistant that reads what it is allowed to read. And that is precisely where the risk lies.  <\/p>\n<h4 data-start=\"1385\" data-end=\"1442\">Copilot does not operate on intelligence, but on access.<\/h4>\n<p data-start=\"1444\" data-end=\"1639\">Copilot uses your existing Microsoft 365 data: documents, Teams chats, SharePoint sites, emails, calendars. That means one thing: <strong data-start=\"1579\" data-end=\"1638\">Copilot does not respect common sense, only rights.<\/strong> <\/p>\n<p data-start=\"1641\" data-end=\"1686\">If an employee currently has access to:<\/p>\n<ul data-start=\"1687\" data-end=\"1837\">\n<li data-start=\"1687\" data-end=\"1736\">\n<p data-start=\"1689\" data-end=\"1736\">documents that he does not actually need<\/p>\n<\/li>\n<li data-start=\"1737\" data-end=\"1790\">\n<p data-start=\"1739\" data-end=\"1790\">old SharePoint sites without clear owners<\/p>\n<\/li>\n<li data-start=\"1791\" data-end=\"1837\">\n<p data-start=\"1793\" data-end=\"1837\">Teams where \u201ceveryone\u201d was once added<\/p>\n<\/li>\n<\/ul>\n<p data-start=\"1839\" data-end=\"1866\">&#8230; then Copilot will see that too.<\/p>\n<p data-start=\"1868\" data-end=\"2033\">Copilot does not distinguish between \u201cintentional\u201d and \u201caccidental.\u201d It assumes that your environment is set up correctly. And in many SMEs, that is simply not the case.  <\/p>\n<h4 data-start=\"2035\" data-end=\"2098\">The biggest misconception: \u201cMicrosoft will protect that.\u201d<\/h4>\n<p data-start=\"2100\" data-end=\"2239\">We often hear people say,<em data-start=\"2119\" data-end=\"2174\"> \u201cMicrosoft doesn&#8217;t just show Copilot everything, does it?\u201d<\/em><br data-start=\"2174\" data-end=\"2177\">The honest answer is that <strong data-start=\"2200\" data-end=\"2238\">Microsoft does exactly what you allow it to do.<\/strong><\/p>\n<p data-start=\"2241\" data-end=\"2392\">Copilot enhances what is already there. A well-organized environment becomes smarter. A messy environment becomes dangerously messy faster\u2014and more visible.  <\/p>\n<p data-start=\"2394\" data-end=\"2427\">Without clear agreements on:<\/p>\n<ul data-start=\"2428\" data-end=\"2480\">\n<li data-start=\"2428\" data-end=\"2446\">\n<p data-start=\"2430\" data-end=\"2446\">data structure<\/p>\n<\/li>\n<li data-start=\"2447\" data-end=\"2465\">\n<p data-start=\"2449\" data-end=\"2465\">access control<\/p>\n<\/li>\n<li data-start=\"2466\" data-end=\"2480\">\n<p data-start=\"2468\" data-end=\"2480\">governance<\/p>\n<\/li>\n<\/ul>\n<p data-start=\"2482\" data-end=\"2603\">Copilot may summarize, combine, or bring up sensitive information at times when you don&#8217;t expect it.<\/p>\n<p data-start=\"2605\" data-end=\"2671\">Not out of malice, but because it makes perfect technical sense.<\/p>\n<h4 data-start=\"2673\" data-end=\"2711\">When Copilot is not a good idea<\/h4>\n<p data-start=\"2713\" data-end=\"2823\">Copilot is not a plug-and-play solution. In some situations, it is simply too early, for example when: <\/p>\n<ul data-start=\"2824\" data-end=\"3032\">\n<li data-start=\"2824\" data-end=\"2885\">\n<p data-start=\"2826\" data-end=\"2885\">SharePoint structure has grown historically without logic<\/p>\n<\/li>\n<li data-start=\"2886\" data-end=\"2946\">\n<p data-start=\"2888\" data-end=\"2946\">rights were granted years ago and have never been reviewed<\/p>\n<\/li>\n<li data-start=\"2947\" data-end=\"2983\">\n<p data-start=\"2949\" data-end=\"2983\">Teams is used as an archive<\/p>\n<\/li>\n<li data-start=\"2984\" data-end=\"3032\">\n<p data-start=\"2986\" data-end=\"3032\">there is no clear ownership of data<\/p>\n<\/li>\n<\/ul>\n<p data-start=\"3034\" data-end=\"3110\">In that context, Copilot does not accelerate productivity, <strong data-start=\"3095\" data-end=\"3109\">but rather risk<\/strong>.<\/p>\n<p data-start=\"3112\" data-end=\"3198\">That&#8217;s not to say Copilot is bad. On the contrary. But it requires preparation.  <\/p>\n<h4 data-start=\"3200\" data-end=\"3252\">What you should check before activating Copilot<\/h4>\n<p data-start=\"3254\" data-end=\"3416\">A sensible Copilot approach does not start with AI, but with insight. Who sees what? Where is which data stored? What information should definitely not be shared more widely?   <\/p>\n<p data-start=\"3418\" data-end=\"3539\">Governance does not slow Copilot down. It makes it <strong data-start=\"3469\" data-end=\"3482\">usable<\/strong>. A well-defined environment ensures that Copilot:  <\/p>\n<ul data-start=\"3540\" data-end=\"3647\">\n<li data-start=\"3540\" data-end=\"3572\">\n<p data-start=\"3542\" data-end=\"3572\">provides more relevant answers<\/p>\n<\/li>\n<li data-start=\"3573\" data-end=\"3599\">\n<p data-start=\"3575\" data-end=\"3599\">produces less noise<\/p>\n<\/li>\n<li data-start=\"3600\" data-end=\"3647\">\n<p data-start=\"3602\" data-end=\"3647\">does not bring up unwanted information<\/p>\n<\/li>\n<\/ul>\n<p data-start=\"3649\" data-end=\"3708\">AI only works well in an environment that understands itself.<\/p>\n<h4 data-start=\"3710\" data-end=\"3738\">The reality for SMEs<\/h4>\n<p data-start=\"3740\" data-end=\"3864\">Copilot is not a toy. It&#8217;s an amplifier.<br data-start=\"3788\" data-end=\"3791\">And as with any amplifier, whatever is wrong becomes more visible.<\/p>\n<p data-start=\"3866\" data-end=\"3981\">Organizations that use Copilot wisely first get their Microsoft 365 foundation in order.
