Chatting, meeting, collaborating and&#8230; saving files. That feels logical. Everything is together, everyone finds it easy, <a href=\"https:\/\/www.microsoft365specialisten.be\/en\/blog\/using-microsoft-365-correctly\/\">and Microsoft 365 is &#8220;one entity&#8221;, right?<\/a>   <br><br>Yet this is where remarkably many companies go wrong. Not tomorrow, but within six to twelve months. Files disappear, versions are no longer correct, new employees cannot see the wood for the trees, and when a colleague leaves, crucial information is &#8220;suddenly&#8221; gone.  <br><br data-start=\"1031\" data-end=\"1034\">Let&#8217;s be honest right away: Teams is not a file server. And those who use it that way are unwittingly building a problem. The good news? Microsoft 365 does have the right tools. You create a team, click &#8220;Files&#8221; and everything seems neatly saved. No separate login, no extra explanation.<br data-start=\"1471\" data-end=\"1474\">For small teams, that works&#8230; temporarily. But something else is happening under the hood. Teams displays files but does not manage them like a classic file server. Structure, rights and longevity are determined implicitly, without anyone making conscious choices.<br><br>The result? Teams becomes a repository of documents with no clear logic. Files in <strong data-start=\"2000\" data-end=\"2041\"><span class=\"hover:entity-accent entity-underline inline cursor-pointer align-baseline\"><span class=\"whitespace-normal\">Microsoft Teams<\/span><\/span><\/strong> are not &#8220;in Teams.&#8221; Each Team and Channel structure automatically creates an underlying document library in SharePoint. So Teams is a window, not a storage layer.   <\/p><p>Meaning:<\/p><ul><li>Each channel = a folder structure in SharePoint<\/li><li>Private channels = separate sites with separate rights<\/li><li>If you delete a team, the underlying storage also disappears<\/li><\/ul><p>Those who do not know this are making decisions in Teams that unintentionally have major implications for data and continuity.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t<div class=\"elementor-element elementor-element-4402ac4 e-flex e-con-boxed sc_layouts_column_icons_position_left e-con e-parent\" data-id=\"4402ac4\" data-element_type=\"container\" data-e-type=\"container\">\n\t\t\t\t\t<div class=\"e-con-inner\">\n\t\t\t\t<div class=\"elementor-element elementor-element-e44194c sc_fly_static elementor-widget elementor-widget-heading\" data-id=\"e44194c\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">The specific risks for SMEs<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d98b78f sc_fly_static elementor-widget elementor-widget-text-editor\" data-id=\"d98b78f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<p data-start=\"2514\" data-end=\"2626\">These are not theories, but problems we encounter almost weekly.<\/p><p data-start=\"2628\" data-end=\"2798\"><strong>First,<\/strong> unclear structure. Teams is built around conversations, not filing. Files follow chats, not processes. That clashes with how businesses work.   <\/p><p data-start=\"2628\" data-end=\"2798\"><strong>Second,<\/strong> permissions that derail. Adding an employee to a team often gives more access than intended. Conversely, files disappear when someone leaves and their team is cleared out.  <\/p><p data-start=\"2628\" data-end=\"2798\"><strong>Third,<\/strong> no long-term management. Teams has no classic archival logic. Projects stop, but data remains lying around or is accidentally deleted.  <\/p><p data-start=\"2628\" data-end=\"2798\"><strong>Fourth,<\/strong> poor scalability. What works with ten people breaks at thirty. Teams is all about collaboration: temporary teams, conversations, quick exchange. These are two different logics. As soon as you force Teams into a file server role, you lose grip. Not because Teams is bad, but because it wasn&#8217;t designed for that.    <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t<div class=\"elementor-element elementor-element-f13f4f0 e-flex e-con-boxed sc_layouts_column_icons_position_left e-con e-parent\" data-id=\"f13f4f0\" data-element_type=\"container\" data-e-type=\"container\">\n\t\t\t\t\t<div class=\"e-con-inner\">\n\t\t\t\t<div class=\"elementor-element elementor-element-78782c3 sc_fly_static elementor-widget elementor-widget-heading\" data-id=\"78782c3\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">So what you should use in Microsoft 365<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-9ff1762 sc_fly_static elementor-widget elementor-widget-text-editor\" data-id=\"9ff1762\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<p data-start=\"3741\" data-end=\"3877\">Microsoft 365 already has the answer ready, as long as you divide the roles correctly.<\/p><p data-start=\"3879\" data-end=\"4206\"><strong>SharePoint<\/strong> is your central document platform.<br data-start=\"3953\" data-end=\"3956\">That&#8217;s where you build:<\/p><ul><li data-start=\"3879\" data-end=\"4206\">clear directory structures by department or process<\/li><li data-start=\"3879\" data-end=\"4206\">fixed permissions that do not depend on chat groups<\/li><li data-start=\"3879\" data-end=\"4206\">document management with version history and metadata<\/li><\/ul><p>SharePoint is where documents &#8220;live,&#8221; regardless of temporary collaborations.<\/p><p data-start=\"4208\" data-end=\"4456\"><strong>OneDrive<\/strong> is personal.<br data-start=\"4265\" data-end=\"4268\">This is your digital desktop. Work files, drafts, personal notes. Anything not already to be shared.<br data-start=\"4387\" data-end=\"4390\">OneDrive is neither an archive nor a team storage.
